Terms & Conditions


1.Safehands Network Ltd are working in partnership with the NHS to run holiday clubs for children aged 3 years – 14 years (OFSTED Registered) between the hours of 7am – 6pm Monday – Friday. Our Holiday clubs will run in compliance with OFSTED regulations (Children Act 1989 / 2004) and all of our appointed staff are CRB enhanced cleared, reference checked and appropriately experienced and qualified.
2.We aim to provide a quality, flexible, and inclusive service for all children, and welcome children with a disability or special needs. Our service is committed to meeting children’s individual needs, and ensuring that your child has a positive, enjoyable time at the holiday club.
3.Food & Drink; please ensure that children attending for the full day or over the lunch time period bring a packed lunch with them. Lunch boxes will be stored in a cool room and where possible they will be refrigerated (you may want to use a cool box, or place an ice pack in your child’s lunch box). Drinks & light snacks will be available through the day.
4.All children must be signed in & out of the venue by their parent / person dropping the child off or collecting them. We would highly recommend that children are accompanied by their parent / carer to and from the venue.
5.Please note that children should not arrive prior to 7am, staff cannot take responsibility for children that arrive early, and children must be collected by 6pm. Parents arriving after 6pm will incur an additional £10.00 charge to cover staffing costs. If a child remains on the premises after 6.30pm and we cannot get hold of a parent or named person, it is our policy to contact Social Services as per OFSTED guidance. (Please let us know as soon as possible if you are going to be late collecting your child).
6.Your child’s welfare and safety are of paramount importance to us, we have staff who are first aid trained on duty and will intervene as assessed should your child have an accident or become ill, our first priority will be to meet the child’s needs, and then to contact you or a named person as soon as possible (please ensure that you have given permission for treatment and signed the consent form).
7.Children who are clearly unwell, suffering from any contagious or infectious illness should not be brought to the holiday club. We will endeavour to contact parents / named person of any child that becomes ill whilst attending the holiday club and assess the situation further, the supervisor will decide if the child needs to be sent home, and ensure an adult is able to collect and look after the child. Meeting your child’s needs is our first priority.
8.It is our policy to only administer prescribed medication. Please notify us of any medication that your child requires so that you can sign the necessary consent form, and confirm written instructions.
9.Children should not bring expensive equipment / games to the holiday club, there will be lots of recreational and messy activities please ensure your child wears appropriate clothes and shoes (trainers etc). Safehands Network Ltd cannot accept any responsibility for lost, damaged or stolen property.
10.We value all children as individuals and our holiday clubs are based on mutual respect, honesty, trust and fairness (equality of opportunity). We aim to provide a quality service and reinforce the values of positive behaviour. We expect children to behave in a thoughtful and caring manner towards each other and members of staff, and hope that parents would support these values, please let us know if you child has any behaviour that may cause concerns, and any strategies for managing unwanted behaviours.
11.We will endeavour to minimise unwanted behaviour such as swearing, bullying, fighting, and have a system in place to manage these behaviours appropriately i.e. ‘time out’ with a member of staff to ‘calm down’. If these unwanted behaviours continue we will work directly with you the parent/carer and the child to address and rectify their behaviour. Should the unwanted behaviour continue this may result in suspension for a period of time.
12.In the exceptional event of the venue being unsuitable for use, due to a serious health and safety matter, or any matter affecting the venue (i.e. flooding, fire etc) Safehands Network Ltd reserves the right to suspend or terminate the operation of the holiday club, your child’s welfare and safety will be our first priority.
13.A comprehensive policy and procedures manual will be available on site for your perusal, please ask a member of staff should you wish to access this information, or have any questions with regards to Safehands Network Ltd. By working together and sharing information, we can ensure that your child will have a fun and enjoyable time in a safe holiday club environment.
14.Fees; are payable in advance as identified on your booking form Additional days and sessions can be requested via the head office, though these will be subject to availability. All bookings will be confirmed via email, (please ensure that you provide your email address)
15.Please note, completed registration forms will not be accepted if not accompanied by the correct fee’s (cheque, debit or credit card details etc). We regret that refunds cannot be given for non-attendance.
16.Should you need to cancel your child’s place, we require two week’s notice, and you will only receive a refund of payment if we are able to fill your child’s place. If you cancel your child’s place with less than two weeks notice, we regret that we are unable to offer any refund.
